It’s a sequence: a rehearsal dinner on Friday, a welcome party that night or the next, a ceremony Saturday, and a farewell brunch Sunday. Couples who fly half their guest list into Florida, and most destination couples in Sarasota do, get more out of three days than they ever could out of one. The photography has to match.
I’ve covered multi-day weekends for 20 years, first in Boston and now from my studio in Sarasota. The mechanics are different for each event. The rehearsal dinner wants candids and warmth. The welcome event wants a real group portrait. The ceremony is the headline. The brunch is the goodbye. Below is how I think about pricing, sequencing, and what each block actually needs.
Three-Day vs Four-Day Weekend Structure
A three-day weekend is the standard: Friday rehearsal dinner, Saturday ceremony and reception, Sunday brunch. A four-day weekend adds a welcome event on Thursday, usually for couples with 80+ destination guests who want a casual on-ramp before the formal rehearsal. Four-day weekends concentrate at the higher end of the Sarasota market: St. Regis Longboat Key, The Resort at Longboat Key Club, and The Don CeSar across the bay. These properties have the room blocks and the multiple event spaces to host all four days under one roof.
If your guest list is mostly local, a three-day weekend is right. If half your guests are flying in from out of state, plan four.
Photography for Each Event, What It Actually Needs
Rehearsal dinner (2–3 hours). Casual candids. Family arrivals, the toast block, dessert. Light is dim, lenses are fast, the work is documentary. No formal portraits unless a parent specifically asks.
Welcome event (2–3 hours). This is the moment to do the full group portrait of all the out-of-town guests together, it’s the only time everyone is in one place not yet dressed in wedding-formal. Plus candid coverage of the party. Sometimes a sunset portrait of the couple, low-key.
Ceremony + reception (8–10 hours). Main coverage. Getting-ready, first look (or not), ceremony, formals, cocktail hour, reception, send-off. This is where the bulk of the album comes from.
Farewell brunch (1.5–2 hours). The goodbye. Hugs at tables, the couple working the room, the last group shot before flights leave. Short coverage block, high emotional return.
The frame that earns its keep: the farewell brunch is the most underweighted event in wedding coverage. Couples cut it to save budget. Then a year later they realize the brunch is where their grandparents look the most relaxed they ever look on camera.
Pricing for Weekend Collections
Honest answer. My single-day Sarasota wedding collections run $2,500–$6,000, one range, the whole site. Multi-day weekends fall outside that range, and I quote them individually, per event, after one conversation. No two weekends carry the same hours, so a published tier would be a guess. What gets scoped:
- Three-day weekend (rehearsal + ceremony + brunch): roughly 12–15 coverage hours across three days, full gallery from every event
- Four-day weekend (welcome + rehearsal + ceremony + brunch): 15–20 coverage hours across four days, second photographer on the ceremony day by default
- Add second photographer across the whole weekend: available as an add-on, scoped per event
- Add hybrid video coverage: one integrated team planned with the photography from day one, scales with day count
What drives the quote: number of hours per event, second-photographer coverage, album inclusion, travel days, and whether the welcome event is a sit-down dinner (longer coverage) or a poolside cocktail party (shorter).
Sarasota Venues That Actually Support Multi-Day Weekends
Not every venue is built for this. The ones that are:
- The St. Regis Longboat Key Resort. Opened 2024. Multiple ballrooms, beach access, on-property restaurants for rehearsal and brunch. Built specifically for destination weekends.
- The Resort at Longboat Key Club. Long-standing weekend host. Lido Ballroom for the main event, smaller spaces for rehearsal, beach for portraits.
- The Don CeSar (St. Pete Beach). Pink-hotel landmark, full event flow under one roof, easy 45-minute trip from Sarasota Airport.
- The Ringling Museum for the ceremony, paired with a nearby resort (Lido Beach Resort, The Westin Sarasota) for surrounding events.
- Powel Crosley Estate for ceremony plus tented reception, with hotel block at nearby Anna Maria or Longboat properties.

Guest Itinerary Logistics
Your guests want a printed schedule (or a wedding website with one). I want the same schedule, 60 days out, with addresses and start times. From there I build a shooting timeline that backs into golden hour for each event.
The two things that consistently go sideways on weekend itineraries:
- Welcome events that run long. Plan for the welcome event to end 90 minutes before your stated end time, guests linger, and you want them rested for the ceremony day, not closing down a bar at 1am.
- Brunch start times. 10am is too early for a Saturday-night wedding crowd. 11:30am or noon lets people pack, check out, and arrive composed.

Do you bring a second photographer for the whole weekend?
For the ceremony day, yes by default on weekend collections. For rehearsal and brunch, optional, usually one photographer is enough.
Can we add a welcome event to a three-day package after we’ve booked?
Yes, as long as I’m available that day. Adding the event is straightforward; the contract gets a rider.
Do you cover rehearsal dinners that aren’t at the ceremony venue?
Yes. Sarasota rehearsal dinners often happen at restaurants, Indigenous, Owen’s Fish Camp, The Polo Grill. Travel inside Sarasota County is included.
What about a getaway-day portrait session?
Some couples add a 45-minute “the morning after” portrait session on the brunch day, in their casual clothes. It’s quiet, low-pressure, and produces some of the strongest images of the whole weekend.
Are albums included in weekend collections?
