After 20 years of photographing weddings, first across Boston, now across Sarasota, there’s a list of 25 questions I get asked in some form on every initial consultation. The questions are usually the same; the right answers depend on the couple, the venue, and the day. The list below is the comprehensive version: pricing, logistics, gear, contracts, rights, delivery, weather, and what to expect from working with a documentary wedding photographer on Florida’s Gulf Coast. Each answer is honest, specific, and as long as the question deserves, no shorter, no longer. If you’re vetting a Sarasota wedding photographer (me or anyone else), these are the answers you should expect to hear in writing before you book.
Pricing and packages
How much does a wedding photographer cost in Sarasota?
My collections run $2,500–$6,000 depending on coverage hours and what your day needs, and I will give you an exact number after one conversation, not a discovery-call funnel. Hybrid photo+video and elopement coverage are quoted inside that same range. Sarasota market-wide, working professionals price from $3,500 at the budget end to $15,000+ at the luxury end; the price-quality correlation is strong below $5,000 and weakens above $8,000.
How many hours of coverage do I really need?
Most full Sarasota weddings need 8–10 hours: getting-ready, ceremony, family formals, couple portraits, cocktail hour, reception, send-off. Six hours can work if you skip getting-ready or send-off; under six hours starts cutting actual coverage. Small weddings (under 50 guests) often work in 5–7 hours.
Do you offer payment plans?
Yes. Standard is 25% deposit at booking, 25% six months out, 50% thirty days before the wedding. Couples on tighter timelines or budgets can request monthly installments, I’ll quote those in the contract.
Coverage and team
Do you bring a second shooter?
Included for any wedding over 100 guests or any wedding with a getting-ready window separated geographically from the ceremony. Below 100 guests, second shooter is an optional add-on. My regular second shooter is a working Sarasota photographer I’ve shot with consistently; you’ll see her work in any sample gallery I send.
What gear do you bring?
Two Sony bodies (A1 and A7R V), prime kit (24, 35, 50, 85, 135, all f/1.4 or f/1.8), a 70-200mm zoom for the ceremony and distance work, two flash units, three lighting modifiers, six memory cards rotated in pairs, two batteries per body, a carbon tripod for blue-hour exteriors. Everything has a backup.
What’s your backup plan if a camera fails?
Two identical bodies, identical lens mounts. If one fails during the day, the second takes over without missing a beat. If both fail (never happened in 20 years), I have a third body in the car. If I have a medical emergency, I have a network of three Sarasota wedding photographers on standby who would step in and shoot the day; their contact information is in the contract.
How long have you been shooting weddings?
20 years. Started in Boston in 2004, relocated to Sarasota in 2024. Brooks Institute graduate. Member of the Wedding Photojournalist Association. Featured in Martha Stewart Weddings.
Engagement and elopements
Do you do engagement sessions?
Yes. Included in larger collections; available as an add-on otherwise. The session runs 60–90 minutes at a Sarasota location of your choosing (I recommend a few). The engagement session is a low-stakes way to figure out how you photograph together before the wedding day.
Do you shoot elopements?
Yes. Elopement coverage runs 2–4 hours, the lower end of my collection range. Common Sarasota elopement spots: Lido Beach, Siesta Key, the Ringling rose garden (with permit), Selby Gardens, downtown bayfront, vacation-rental properties.
Do you travel for destination weddings?
Yes. Travel within Florida is built into the standard collection; longer travel quoted case by case. Boston-area weddings I still shoot regularly given my prior 20 years of work there.
Video, albums, and add-ons
Do you offer video?
Yes, hybrid photo+video brings a separate videographer who works as a second shooter on the photo side, quoted as part of your collection rather than bolted on. The final deliverable is a 3–5 minute highlight film plus the full edited photo gallery.
Do you make albums?
Yes. Linen-cover layflat albums start at 10×10 with 30 pages; larger and more elaborate options go up from there. Album design is done after the gallery delivery, you select images, I design the layout, you approve, I print.
Can we order prints from you?
Yes. The delivery gallery includes a print-shop with archival fine-art prints in a full range of sizes. Or you can download high-resolution JPEGs and print anywhere, your license includes personal print rights.
Delivery, files, and rights
When will we get our wedding photos?
Sneak peek (15–30 images) within 1 week. Full gallery within two weeks. Album, if ordered, 8–12 weeks after final selections. These are written into the contract.
How many photos will we get?
Typical Sarasota wedding gallery: 600–900 fully edited images for a 10-hour day with a second shooter. Smaller weddings deliver 300–500; elopements deliver 150–250.
Will you deliver RAW files?
No. RAW files are a working format, like asking a chef for the raw ingredients. The delivered JPEGs are color-corrected, retouched where appropriate, and print-ready. I retain the RAW files for archive but they’re not part of standard delivery.
Who owns the photos?
I retain copyright as the photographer. You receive a perpetual personal-use license, print, share, post to social media, frame, use in family communications. Commercial use (a venue using your wedding photos to market itself, for example) requires separate licensing.
Can we post the photos on Instagram and tag the vendors?
Yes. Personal-use license covers all social media. Vendor tagging is encouraged. I ask for a photo credit (@mark_davidson) when reasonable.
Edit style and retouching
What’s your edit style?
Restrained, true-to-color, slight warm bias. I avoid heavy presets, fashion-magazine over-saturation, and the orange-and-teal look that dominates a lot of Florida wedding work. Skin tones stay neutral; shadows stay intact; whites stay white. The aesthetic is closer to film than to Instagram.
Do you retouch faces and skin?
Standard delivery includes global color correction and minor retouching for select images (couple portraits, formals). Heavy retouching, slimming, smoothing, object removal, is available as a per-image add-on. I don’t apply heavy retouching by default because it dates the images quickly.
Logistics
How do family photos work?
We do a shot list pre-wedding, typically 8–12 grouped formals (couple with parents, with siblings, full immediate family, full extended family). I’ll coordinate the list with a designated “family wrangler” (usually a wedding party member who knows the family) and we work through it efficiently, about 20–25 minutes for a standard list.
What if it rains?
Every Sarasota venue has a rain plan. We use the venue’s indoor backup or covered alternative. Sarasota rain is usually short and intense, afternoon storms pass in 30 minutes, so we often shift the timeline rather than abandoning outdoor portraits. I’ve never had a wedding “ruined” by rain in 20 years.
What if a hurricane is forecast for our wedding weekend?
Hurricane season in Sarasota runs June through November, with peak risk August–October. The contract includes a force-majeure clause covering hurricane postponement at no additional charge. We’d coordinate with the venue and vendors to shift the date.
Deposits, contracts, cancellations
What’s the deposit to book?
25% of the total collection price, non-refundable, due with the signed contract. This holds your date, no one else can book it.
What’s the cancellation policy?
Deposit is non-refundable for cancellation; full refund minus deposit for venue or vendor-side cancellations more than 60 days out; sliding scale of refund inside 60 days. Postponements with rescheduling are no-charge if a new date is found within 18 months.
Do you have a contract we can read before paying?
Yes. The contract is sent before any payment. It’s six pages, written in plain English, with line items for hours, deliverables, deposit, balance, postponement, cancellation, and rights. Read it. Ask questions. Sign it.
Practical questions
What should we wear for the engagement session?
Solid colors, layered textures, nothing too contrasty. Avoid logos, graphic prints, and white/cream tops (overexposes against Florida light). Two outfit changes is plenty. If we’re shooting at golden hour, anything warm-toned reads well.
How should we vet a Sarasota wedding photographer’s portfolio?
Three things: ask for a full wedding gallery (not a highlight reel), look for consistency across the whole gallery (not just the top 20 images), check that the photographer handles Florida light cleanly (skin tones natural, shadows intact, no over-orange saturation). If a portfolio is only highlight reels, that’s a signal.
