A wedding coordinator is the single biggest determinant of whether your photographer comes home with great work. Not the dress, not the venue, not the season. The planner. A good planner runs an on-time day that gives the photographer room to do quiet work in good light. A bad planner runs a chaotic day where the photographer is making bricks without straw.
I’ve worked with dozens of planners across 20 years, first in Boston, now in Sarasota. The list below is planners I’ve worked with directly or who come highly recommended by photographers I trust. What Makes a Planner Good for Documentary Work
The traits I rank, in order:
- Anticipates moments. A good planner knows the toast block is coming and gets out of my frame 30 seconds before it starts. A bad planner stands behind the couple during their first dance fixing a napkin.
- Manages family-photo logistics aggressively. Family formals are the most stressed twelve minutes of any wedding. A good planner has the shot list, the family list, and a designated wrangler. We’re in and out in under fifteen.
- Builds buffer into the timeline. A planner who books portraits 4:50–5:00pm before a 5:00 ceremony is setting up failure. A planner who books 4:15–4:45pm with a 15-minute buffer is setting up calm.
- Doesn’t block the photographer’s frame. This sounds petty. It’s not. A planner who repeatedly steps in to adjust a boutonnière during the ceremony processional has cost the album three irreplaceable images.
- Stays calm when something breaks. Something always breaks. Rain at 3pm. A vendor running late. The bride’s earring lost in the grass. The planner sets the room temperature.

Full-Planning vs Month-Of vs Day-Of
Three tiers, three different services, three different prices:
Full planning. Booked 12–18 months out. Planner handles venue, vendor selection, design, paper goods, logistics, day-of execution. Pricing: $7,500–$12,000+ in Sarasota for full-service. For larger destination weekends, $12,000–$20,000+.
Month-of (sometimes called “wedding management”). Booked 9–12 months out, light touch until 6–8 weeks before the wedding, then full takeover. Planner ratifies the vendors you chose, builds the timeline, runs the rehearsal, executes the day. Pricing: $3,500–$6,000.
Day-of. Booked 3–6 months out. Planner shows up for the rehearsal and the wedding day, executes the plan you built. Pricing: $2,500–$4,000.
My honest recommendation: if your budget is in the $40,000+ range for the whole wedding, hire a full planner. The math works out. If your budget is under $40,000 total, hire month-of and put the rest into the wedding itself.
How Planners and Photographers Coordinate the Timeline
The handoff happens 60–90 days out. The planner sends a draft timeline. I respond with:
- Where I want golden hour portraits and exactly when sunset falls that day
- How long family formals will actually take based on the family list (formula: 1 minute per planned group + 5 minutes buffer)
- Whether the first look fits and where it should happen on the property
- How long the getting-ready coverage needs based on the bridal-suite location
- Whether the cocktail hour space gives me a reception detail shot before guests enter
A good planner takes my notes and revises. A great planner has already built half of them into the draft.
Red Flags When Interviewing Planners
- “We don’t do timelines until 30 days out.” Too late.
- “We don’t share vendor lists until you book.” Suspicious.
- “We’re not on Instagram.” Not necessarily bad, but they need a portfolio somewhere.
- They badmouth other vendors during the consult. Walk away.
- They can’t tell you who their preferred photographers are. They don’t have professional relationships.
Frequently Asked Questions
Do I need a planner if my venue has a coordinator?
Yes, usually. Venue coordinators work for the venue, they unlock doors, manage room turnover, and leave at 10pm. A wedding planner works for you, runs your timeline, and manages your vendors. The two roles are not interchangeable.
Can you give me a planner referral if I’m just starting?

How early should we hire a planner?
Full-planning: as soon as you have a date. Month-of: 9 months out. Day-of: 4–6 months out.
Do you charge less if there’s no planner?
No. I charge more in effort, not in dollars. A planner-less wedding is harder on me, but the price is the price.
Will you help me build the timeline if I don’t have a planner?
Yes, within reason. I’ll send a timeline template and review your draft once. Beyond that, hire a planner.
